Storage of Legacy Print Collections: The Views of Australasian University Librarians

This article reports on the results of a qualitative survey conducted with seven managers of university libraries from Australia and New Zealand. The purpose of the survey was to explore both library responses to, and librarians’ attitudes toward, issues related to the long-term storage and management of legacy print collections. There is a focus on issues related to future planning for print storage, including the prospects for collaborative storage; the balance between on-site and off-site storage; the impact of mass-digitization programs; and the desirability of collaboration outside the university library sector.     

Taking Shared Print to the Next Level: The Partnership for Shared Book Collections

Abstract

This article introduces the Partnership for Shared Book Collections, a federation of monograph shared print programs. Collaboration of programs at the network level allows for:

• Reducing the cost of retaining the scholarly record through shared distribution of commitments;

• De-duplicating efforts;

• Developing and promoting evidence-based best practices;

• Increasing the effectiveness of communication with end-users and funders;

• Tackling large-scale projects and research that are out of reach for individual shared print programs. This shared stewardship of collection is critical as local resources are depleted due to the COVID-19 pandemic and access to print for digitization increases.

     

From Collaborative Purchasing Towards Collaborative Discarding: The Evolution of the Shared Print Repository

Academic research libraries have a tradition of collaboration, from selecting foreign language material to licensing electronic resources. Although most storage facilities have tended to be local, some libraries have collaborated on operating shared storage facilities. The growth of digital repositories of printed materials has given the library community the opportunity to engage in a conversation about how to collaboratively take responsibility for the long-term selection and preservation of the print originals. Establishing regional repositories will allow member libraries to draw down local print collections. This review article will trace the major development of this progression from local storage facility to regional print repository.

Comparative Usage of Science E-book and Print Collections at Texas A&M University Libraries

This study compares usage figures between equivalent e-books and print books owned by the Texas A&M University Libraries in the physical sciences and technology. For NetLibrary, the top 10 science e-books were used over six times more than the print books, and the top 10 chemistry e-books were used over three times more than their print counterparts. For ebrary, the top 17 science e-books were used at least 17 times more than the same print books. In Safari, the top 10 computer science e-books were used 207 times more than their print counterparts. Usage statistics such as these can help librarians make informed e-book purchase decisions, especially in times of retrenchment.     

Using Targeted Distributed Collections to Enhance Government Depository Collections at a Regional Level: The ASERL Collaborative Federal Depository Program

The Association of Southeastern Research Libraries is exploring options for collaborative services and collection analysis for federal government publications in order to improve public access to those collections. The Collaborative Federal Depository Program has developed “Centers of Excellence” (COE), representing multiple complete collections of publications for each federal agency. Working together to create a distributed print retention program, southeastern depository libraries agreed to collect, maintain, and provide access to publications for specific government agencies. The authors discuss the development of the COE model and the expected impact of a regionally based distributed print archive for government documents, and provide an implementation case study.     

A Systematic Plan for Managing Physical Collections at the University of Arizona Libraries

To address the lack of space for continued expansion of the collections, the University of Arizona Libraries have developed a systematic process and timeline for the ongoing management of the physical collections of information resources. This article discusses the evaluative criteria and parameters for deselection that were developed and demonstrates how they were integrated into a 5-year plan for managing the collections. The process was designed to have the least negative impact on our customers while allowing for the flexible use of physical space. The article will also highlight the successes and challenges of developing and implementing the plan.     

Building the UK Research Reserve: Using Coordinated De-Duplication to Create a Collaborative Print Journal Collection

This article outlines the workings of the UK Research Reserve, a collaborative initiative releasing space in Higher Education libraries within the United Kingdom, while ensuring the retention and availability of a national print journal collection. The method used to process material and identify holdings suitable for disposal is described. The salient issues in the process are identified and discussed, as are some of the challenges that have been encountered to date.     

All Together Now: Planning for Shared Print Archiving at Canada's Western Universities

The Council of Prairie and Pacific University Libraries is a consortium of twenty-two university libraries in western Canada. Planning for a regional shared print archive has included the formation of several task groups, the engagement of a project consultant, and local development of a holdings registry tool. The original impetus for the project was to clear maximum shelf space at member libraries quickly. The planning challenge that has emerged is to design a project that meets this short-term regional need for repurposed space in member libraries, while building in scalability to address a broader preservation mandate, and that allows linking to related initiatives in other jurisdictions.     

Small Scale: Using a Regional Pilot Project to Explore the Potential of Shared Print

The long-standing cooperative culture within the research library community should serve as a useful foundation for building regional cooperative agreements to support repositories of print journal backfiles. Serious storage constraints facing Iowa State University, the University of Iowa, and the University of Wisconsin-Madison mandated an effort to tackle this problem in a deliberative and coordinated way. An inter-institutional Task Force was formed to design and implement a process with a selected group of titles as a pilot project. The immediate goal was to liberate shelf space with an eye toward the future development of a consortial collection management plan for the storage of print journals among the three institutions.     

Evidence-Based Acquisition: A Real Life Account of Managing the Program Within The Orbis Cascade Alliance

In 2015 the Orbis Cascade Alliance investigated a consortium wide evidence-based acquisition (EBA) model to incorporate into its established eBook program, and began a pilot of Wiley’s Usage Based Collection Management Model. EBA is an acquisition model that grants library patrons access to a title list over an agreed-upon time period for a pre-negotiated amount of money, and titles from that list are then selected for purchase based on the evidence of usage from the initial access period. This article shares the consortium’s experiences evaluating usage, managing titles and records, controlling duplication, predicting costs, and the inclusion of MARC records to enhance discoverability.     

Mobile Web Site Ease of Use: An Analysis of Orbis Cascade Alliance Member Web Sites

ABSTRACT

This article analyzes 37 Orbis Cascade Alliance members' Web sites to determine ease of use across mobile devices. Based on that analysis and a literature review, guidance is provided on how libraries' mobile Web sites may be improved. Web sites were examined to determine ease of locating frequently accessed resources on mobile devices that were identified in the literature: contact information, hours, databases, library accounts, and search boxes. Scalability of Web sites on mobile devices was also evaluated and was found to be non-existent in nearly a quarter of examined libraries. Areas for consideration and improvement are presented across Orbis Cascade Alliance libraries that can easily be applied globally.     

Use It or Lose It! Results of a Use Study of the Print Sources in an Academic Library Reference Collection

This article describes a use study of a reference collection, which found that 7.1% of total volumes in the reference collection were used over the course of the fall semester.     

Repurposing and Renovating Space for High-Density Storage: Kansas State University Libraries' Answer to Additional Collections Space

While many libraries have built new high-density storage facilities, fewer academic libraries have repurposed and renovated an existing building for that new end. This article details Kansas State University Libraries' experience renovating an existing structure for high-density storage purposes and the improved collection management options that resulted.     

Communicating the Value of an Institutional Repository: Experiences at Ghana's University for Development Studies

ABSTRACT

The quality of research depends greatly on access to existing information. Institutional repositories (IRs) have the potential to enhance and promote the dissemination of knowledge and research. This may lead to discoveries and innovation alongside maximizing return on investment in research and development. Following some background information, this article briefly discusses the processes involved in the establishment of Ghana's University for Development Studies (UDS) IR (UDSspace). Marketing and advocacy strategies employed to engage Faculty to enable them to contribute meaningfully and effectively in the populating of the IR are outlined and benefits described. The study uses a quantitative method. A questionnaire was used to elicit data from faculty. This article describes the various communication methods used to promote the IR and evaluates their effectiveness in getting users to participate in populating the IR. The survey found that although as high as 80.3% of respondents were aware of the benefits of an IR and 66.2% were aware of the existence of the UDS IR, 86.8% of respondents had not submitted to the IR.     

CIC Co-Investment to Protect Print Research Library Collections in the Midwestern United States

The Committee on Institutional Cooperation (CIC) is one of the nation's oldest and most respected academic consortia. The CIC libraries hold more than 85 million volumes with print collections occupying approximately 10 million linear feet—or 2,000 miles—of shelving. The price tag for maintaining CIC print holdings, in stacks and storage facilities, is approximately $200 million per year. Between 2009 and 2011, the CIC University Librarians (ULs) affirmed a list of core principles for developing and managing a shared storage program. The ULs made an initial investment to support building a shared collection of 250,000 journal backfile volumes to be housed at Indiana University.     

Rethinking Collection Management Plans: Shaping Collective Collections for the 21st Century

The emergence of shared print repositories has created new opportunities for libraries to provide cost-effective stewardship through collaborative collection management. This opportunity also presents challenges, as libraries must reenvision collection management in the context of local, regional, and national priorities. In previous decades, collection management plans were used to communicate an institution's strategies for managing local collections. As libraries prepare to participate in cooperative agreements, formal collection management plans and policies can and should be used once again as a practical framework for decision making. The authors offer practical advice on developing a collection management plan in a collaborative context.     

Three Libraries,Three Weeding Projects: Collaborative Weeding Projects Within a Shared Print Repository

The Tri-University Group of Libraries has operated a joint print repository (the Annex) since 1996. As of March 2011, the facility is at 94% capacity. Following a shutdown and comprehensive review in 2006, the three institutions developed a Preservation of Last Print Copy Agreement. This agreement spurred the three partner institutions to undertake three specific weeding projects (monographs deduplication, weeding of science, technology, and medicine journals, and a JSTOR journals last copy project) to prolong the life of the repository. This article outlines the scope, methodologies, successes, and challenges involved with these collaborative weeding projects.
